Payments

Tired of getting out of your chair to process those payments? You run all the way to Kathleen’s office only to find that the wireless terminal’s out of batteries or can’t get a signal? Those days are now over. Now, from within the comfort of epic48, you can process all of those payments quickly and easily.

Browse through the Contacts to locate the person who’s submitting a payment. When you view their contact info, you will see a “Process Payment” link at the bottom of the screen. (Payments, like credit cards, must be attached to contacts, not companies). Click the Process Payment button and you will be shown a form to fill out. Fill out all of the required details and then press process the payment submission button once. DO NOT DOUBLE CLICK. Accidental double clicking, using the forward and back button and re-posting that form could result in your transaction being completed twice. You can even select one of the contact’s email addresses so that they will receive their processed transaction information via email. The transaction information is immediately delivered to Joe, but you still must provide Jane with your paper backup (invoice, contract, etc..) for audit purposes.

If you have any questions, please let Joe or Ian know when they come up. If you encounter any errors, please don’t close the window you’re in. Just leave it open, copy the error and paste it into an email to me and then leave your computer on. If you want to continue using the Internet, just open a new web browser window until I can get there to see it. I don’t anticipate any problems with this, as I’ve done a lot of testing in the Moneris test interface but just in case, you’ll know what to do.

Question from Rob

What happens if the person isn’t already entered as a contact? Do I have to enter them? If I do, do I need to know EVERYTHING?

I was going to use it for my classified payments, but in most cases, I only know the name, company name, phone and email.

Lots of times it’s the office admin person who is my contact, but they give me the boss’ credit card. Since the payment must be attached to a contact, should I enter them both?

Answer

You just search for their company (or part of the name) and then add the company when there aren’t any matches. Then edit the company and add the contact and then click on the contact and process the payment. If the office admin person is paying, you should add them. Then in the payment, the name on card field, just put in exactly that.

When you’re adding the contact/company you can put in as much or as little information as you’d like. If you put in an email address you’ll be able to email them their payment processing record as soon as the transaction goes through.
