About the phone…
The Cisco 7900 series of phones are high quality network phones. Their voice quality is un-paralleled with any other IP phone and the features they offer combine power and ease of use. There are two line buttons, four soft keys, four function buttons, volume adjustment, arrows for navigation and a number pad.
How do I make a call?
You have a few ways to make a new call. You can pick up the handset, press the New Call soft key or press the speaker phone button on the bottom right corner of the phone. Once you’ve got the dial tone, just dial your ten digit number. If you’d like to call someone else in the office, dial 2 and their old extension number. For example, if I want to call Tony, I pick up my phone and dial 2304. Once we remove the old phones, you will only have to dial 304.
How do I make a call from epic?
In the new contacts module in epic, you will see the link which says “call” next to all phone numbers. Just click on that and then your phone will ring. Once you answer the call, your call will be dialed automatically. No more fussing with wrong numbers!
How do I use the directory to dial a number?
To dial anyone, you can press the services button which is the function button which looks like a globe. Once the page loads, you can select LO Staff, CNLA Staff or any other list of people you wish to select from. They’re all powered by epic and you can use those menus to dial calls, or transfer calls too.
How do I transfer a call?
While you’re on the phone with the caller you’d like to transfer, press the “more” soft key. The menu will display Transfer and Blind Transfer options.
- To talk to the person who you’d like to transfer the call to before transferring the call. Press the Transfer soft key and then dial the extension or the number of the person you wish to transfer you. Once they’ve answered and you’re ready to transfer the call, press the Transfer soft key again to complete the transfer.
- If you want to just transfer the call, you can use the Blind Transfer soft key to dial the number of the person you with to transfer the call to.
How do I transfer a call directly to voicemail?
To transfer a call directly to someone’s voicemail, transfer the call to * 6 and the persons four digit extension. So, to transfer a call to Tony’s voicemail, press the more soft key, press the blind transfer soft key and then punch in *62304 and then press the dial soft key.
How do I pick up a call ringing at reception?
To answer a call ringing at reception, pick up your phone and dial *5 and then press Dial. (If you don’t press Dial, it will wait a few seconds before connecting.) This system is extremely well programmed. If the call is for Jane or the spare phone directly, then *5 will not have a call for you to pick up. It will only pick up calls where people have pressed 0 from the menu. If there is no call to pickup you will hear the Congestion tone and your phone will say “Reorder”.
What does it mean when I hear the beep?
These phones are full-featured, so they come complete with call waiting. If you’re on the phone and another call comes in, it will automatically prompt you to answer the other call. They also have caller ID, so you can see who’s trying to call you on the other line so you can evaluate whether you should attend to the other call or not. If you would like your phone to have call waiting disabled, it’s an options in the settings menu and I can give you hand getting it disabled.
Everything I need to know about my voicemail.
- To access your voicemail from your phone, press the envelope function key.
- To access your voicemail from outside the office, dial your own number and when your voicemail kicks in, press the star key.
- Your mailbox number is 2 + your old extension number. So Tony’s is 2304.
- Your password, until you change it is the same as your extension. So mine would be 2325. Please change your password, unless you want others to check your voicemail.
- All of your voicemail will be emailed to you as well as being available to you on the system. If you delete a voicemail email, it is still on the voicemail system for you to check.
- Your phone will light up red when you have a new message.
- If you’re out of town and you want to check your messages, we have a second toll free number for the system. Dial 1-888-211-5606 and once connected, dial MAIL (6245) to be connected.

To save money, we will also be able to get numbers in different areas so instead of people calling us from London on our toll free number and costing 5 cents per minute, they can call our London number and we would only be paying 1.5 cents per minute.
Why does it say I have missed calls, but my phone’s not lit up?
While you were away from your desk or on the other line, someone called for you so it will appear as a missed call. The caller chose to not leave a message as well, so your phone isn’t lit up because you don’t have any new messages. To see who called you press the directories function button, it has a book icon. From there you can see your missed calls, received calls, placed calls and access the other directories.
What if I’m busy and I can’t take calls right now?
You can put your phone on Do Not Disturb and your calls will go straight to voicemail. Press the settings function key, which is the one with checkbox on it. Go to option 6, Call Preferences. Select option 1 and then press the Yes soft key and then press the Save soft key and then press the Back soft key to get out of the menu. To turn it off, you just need to press the DND soft key
How can I tell if someone is on the phone?
You just have to look at the attendance list. If they’re tan, they aren’t on their phone, if they’re red, their phone is in use.
What’s the phone relation with us and CNLA now?
CNLA is also using the same Cisco phones, so you can actually transfer calls between each of the offices and just dial extensions to call each other. Press the services button to access the menu of CNLA extensions.
How do I change my ring tone?
Press the settings function button (the one with the check box on it). Select option 2, and then you can scroll through the rings pressing the Play soft key to hear them as you go. Once you’ve picked one you like, press the Select soft key and then press the Ok soft key to save your change and then press the back button or the settings function key to exit the menu.
Want to Listen to Music?
There are three music channels programmed at present.
- Dial 3600 for alternative rock
- Dial 3601 for christmas music with a twist
- Dial 3602 for top 500 classic rock tunes
If you’d like new music added to the system, bring it in and we’ll get it installed.
How do I page?
Dial *1 and you will hear a beep and be paging the entire office.
Dail *2 and you can page the speakers outside.
